Industrial surplus valve buyers appraise hundreds of thousands of pounds of equipment monthly. Inventory lists submitted as unformatted text in emails, blurry screenshots, or handwritten notes force appraisers to manually decipher specifications, dramatically slowing response times.

An organized spreadsheet structured in Microsoft Excel (.xlsx) or CSV format allows valuation algorithms and technical specialists to immediately cross-reference your items against active customer requisitions, historical pricing databases, and current secondary market indices.

The 12 Mandatory Data Columns

Column 1: Item Number (unique identifier, e.g., V-001). Column 2: Quantity (number of identical units). Column 3: Valve Type (Gate, Globe, Check, Ball, Butterfly, Control, Plug, Relief). Column 4: Manufacturer (Fisher, Cameron, Velan, Crane, etc.). Column 5: Full Model / Figure Number (transcribed completely including suffixes).

Column 6: Nominal Pipe Size (e.g., 2", 3", 4", 6", 8", 12"). Column 7: ANSI Pressure Class (150, 300, 600, 900, 1500, 2500). Column 8: Body & Trim Metallurgy (e.g., WCB/316, CF8M, WC9/Stellite). Column 9: End Connection (RF Flanged, RTJ, Butt-Weld, Socket-Weld, NPT, Wafer, Lug).

Column 10: Actuation & Instrumentation (Manual Handwheel, Gear Operator, Pneumatic Diaphragm, Electric Motor, Positioner Model). Column 11: Condition Grade (New in Box, Unused Surplus, MRO Spare, Used Take-Out). Column 12: Location / Pallet Number (e.g., Houston Warehouse Bay 4, Pallet 3).

Formatting Rules: Separate Sizes, Classes & Quantities

A frequent mistake in inventory lists is combining different sizes or pressure classes on a single row (e.g., 'Assorted Class 150/300 Gate Valves - 12 pcs'). Each unique combination of size, class, manufacturer, and metallurgy must occupy its own distinct row.

If you have four 3" Class 150 gate valves and eight 4" Class 150 gate valves from the same manufacturer, create two separate rows with quantities of 4 and 8. This enables accurate piece-by-piece valuation based on specific secondary market demand.

Maintain consistent naming conventions across all rows. Do not write 'CS' on one line, 'Carbon Steel' on another, and 'WCB' on a third; use standardized ASTM casting designations throughout.

Connecting Photo Folders to Item Numbers

The single most powerful practice in surplus valve inventory management is synchronizing photo filenames with spreadsheet item numbers. If Row 1 is 'V-001', the corresponding photo files should be named 'V001-1.jpg', 'V001-2.jpg', and 'V001-tag.jpg'.

For large multi-pallet inventories, create individual digital folders labeled with each item number, containing the corresponding nameplate and overall photos. Alternatively, place all photos in a shared cloud folder (Dropbox, Google Drive, OneDrive) and include the share link directly on your submission.

At the bottom or in a dedicated header tab of your spreadsheet, include your facility logistics profile: (1) Facility physical address and pickup ZIP code, (2) Shipping contact name, phone, and email, (3) Facility operating hours and dock appointment rules, (4) Loading dock status (dock height vs ground level), (5) Forklift capacity, and (6) Total estimated pallet count and gross shipping weight.
